Information for presenters

We have scheduled two rehearsal sessions in Whova – come and talk to us about presenting at ISLE 6, Whova, screen sharing, the weather, … The sessions can be located on Whova’s Agenda – on the Web app, there is a separate tab for Rehearsal sessions in the top right-hand corner, and on the mobile app, just scroll the dates at the top to find the sessions.

Tue 25 May at 12:00-13:00 (Finnish time, UTC+3)

Wed 26 May at 15:00-16:00 (ditto)

Here you will find information on the different types of presentation, on the options for presenting at an online conference, and other useful information.

Types of presentation

Full paper

Length: max. 20 minutes talk, 5 minutes discussion, and 5 minutes transition to the next speaker.

Means: PowerPoint, Keynote or any software that is compatible with Zoom (i.e. allows screen sharing on Zoom).

NB. Co-authored papers: changing the shared screen mid-presentation takes time and may create technical issues, which is why we recommend that co-authored papers are presented by one presenter, or that the screen share is not switched even if the speaker is. Please contact the organizers if you need screen-sharing rights for multiple speakers.

Work-in-progress paper

Length: 8-10 minutes talk, 3 minutes discussion, and a few minutes for transition to the next speaker.

Means: PowerPoint, Keynote or any software that is compatible with Zoom (i.e. allows screen sharing on Zoom).

Poster

Instead of traditional (and physical) A0 posters, ISLE 6 posters will be presented in two parts:

Part 1: Pre-recorded video presenting your research (3-5 minutes), available for viewing on the conference platform for the duration of the conference. Please record a short presentation of your research with the help of  PowerPoint slide(s), Prezi or a pdf of your poster – see the instructions for recording a presentation.

Part 2: A Q&A poster session will take place on Saturday, during which the audience will be able to engage directly with the poster presenters, in individual Zoom rooms. The presenter may briefly talk about their research, and the audience is welcome to ask questions and give feedback.

Please note that an actual poster is not required.

Options of presenting

We hope that as much of the conference program as possible will be live, but we do of course understand that there may issues that prevent live attendance. Each presentation is given a slot in the program – live talks will take place live on Zoom, while pre-recorded talks will be screened in their allotted slot.

Live talk

Giving a live talk at ISLE 6 will be much alike to a traditional, physical conference presentation – you will be allotted a presentation slot of 25 or 15 minutes, during which you will give your talk in a Zoom meeting. Each session will have a chairperson, as well as a student helper assisting you with the technical issues. Each talk will be followed by a 5-minute Q&A session, in addition to which the audience can ask questions or give constructive feedback via your presentation’s channel in Whova.

We hope to be able to record each live presentation and make it available for viewing for the remainder of the conference and three weeks after it. This allows also those attendees who are not able to attend your talk to listen to you and to contact you on Whova. Please see the Consent form page for more information.

For further instructions, please see here.

Pre-recorded talk

If you won’t be be able to give a live presentation, we ask that you prepare a screencast of your presentation, for instance by using the free Zoom client to record your presentation, or by using PowerPoint’s voice-over feature. Please note that the recording will be screened in your allotted slot, which means that it cannot be longer than 20 minutes for full papers and 8-10 minutes for WIP papers.

If at all possible, we ask that all presenters be present for the Q&A session after the talk. In addition to the live Q&A, questions and comments can be left for each talk via Whova.

Please submit your video file as an MP4 in either 720p or 1080p to the conference email (isle6@uef.fi) via e.g. WeTransfer (https://wetransfer.com/), or by sending us a link to the file stored in a cloud storage provider. We will confirm the reception of the files via email, after which there will be no need to maintain the links (e.g. WeTransfer will ask you to upgrade to push back the expiry date – there is no need for this). Please see the Consent form page for more information.
