After the project ends, data may be opened, published, stored for a fixed period, archived, or disposed of appropriately. Opening data means making them available to others as openly as possible. Fixed-term storage refers to retaining data for a defined period. Archiving, in turn, means preserving data without a predetermined time limit. Long-term preservation and archiving are often used interchangeably and imply that, once preservation or archiving begins, the data are no longer modified. Instead, their integrity, accessibility, and usability are ensured through appropriate measures.<\/p>\n\n\n\n<p>With the advancement of open science, making data openly available has become a shared goal within the academic community. High-quality data are a valuable asset for researchers, particularly when made available for reuse.<\/p>\n\n\n\n<p>Opening and publishing data are recommended whenever possible to enable reuse in new scientific research or for educational purposes. Open access to the research data underlying scientific publications is increasingly required. Moreover, research funders are placing increasing emphasis on the opening of research data. According to <a href=\"https:\/\/studentuef.sharepoint.com\/sites\/www-documents\/Jaetut%20asiakirjat\/Forms\/AllItems.aspx?id=%2Fsites%2Fwww%2Ddocuments%2FJaetut%20asiakirjat%2FAVOTT%5FPolicy%5F202312%5FEN%5FFINAL%2Epdf&amp;parent=%2Fsites%2Fwww%2Ddocuments%2FJaetut%20asiakirjat&amp;p=true&amp;ga=1\" target=\"_blank\" rel=\"noreferrer noopener\">UEF Open science and research policy<\/a>, research data should in principle be opened whenever possible, in accordance with research ethics and applicable legislation. publishing research data typically take place after a research project has been completed, but in longer projects this may also occur during the research process. It is essential to plan data opening from the very beginning of the project; otherwise, it may later prove impossible to open the data.<\/p>\n<p>Ethical and legal considerations may limit the degree to which data can be made open. For example, sensitive or confidential information, as well as trade or professional secrets, may restrict data sharing. If your research data include personal data, particular attention must be paid to data protection requirements (see <a href=\"https:\/\/sites.uef.fi\/rdm\/collecting-and-using-data\/\" target=\"_blank\" rel=\"noopener\">Chapter 2<\/a>).<\/p>\n<p>If your data cannot be fully opened due to confidentiality, contractual obligations, or other restrictions, it is usually still possible to publish the metadata (that is, a description of the data). Once the retention period has ended, the research data must be disposed of in an appropriate and secure manner, with due consideration given to information security.<\/p>\n<p>According to the <a href=\"https:\/\/studentuef.sharepoint.com\/sites\/www-documents\/Jaetut%20asiakirjat\/Forms\/AllItems.aspx?id=%2Fsites%2Fwww%2Ddocuments%2FJaetut%20asiakirjat%2FPreserving%20research%20data%20after%20research%20in%20University%20of%20Eastern%20Finland%2Epdf&amp;parent=%2Fsites%2Fwww%2Ddocuments%2FJaetut%20asiakirjat&amp;p=true&amp;ga=1\" target=\"_blank\" rel=\"noopener\">guidelines of the University of Eastern Finland<\/a>, research data should be retained for a minimum of five years after the completion of the research, unless longer retention is required by law or other obligations. UEF storage systems are suitable for temporary storage as long as at least one member of the research team is affiliated with UEF and has access to an active UEF user account.<\/p>\n<p>When planning the retention period, it is important to consider whether the data may be reused or whether there are other reasons to retain the data for a longer period after the research has ended. If the research data contain personal data, data protection requirements must be complied with in accordance with applicable legislation. <span style=\"font-size: 1rem\" data-contrast=\"auto\">For example, according to the Data Protection Regulation, personal data may be retained only for as long as necessary for the purposes of the research. After this, the data must either be destroyed or anonymised (i.e., personal identifiers are removed). <\/span><span style=\"font-size: 1rem\" data-contrast=\"auto\">In some cases, data containing personal data may be archived if there are sufficient legal grounds for doing so (see the <a href=\"https:\/\/tietosuoja.fi\/en\/destruction-anonymisation-or-archiving-of-data\" target=\"_blank\" rel=\"noopener\">guidelines of the Office of the Data Protection Ombudsman<\/a>). <\/span><span style=\"font-size: 1rem\" data-contrast=\"auto\">Research participants must also be informed about the processing of their personal data after the research has ended (see <a href=\"https:\/\/sites.uef.fi\/rdm\/collecting-and-using-data\/\" target=\"_blank\" rel=\"noopener\">Chapter 2<\/a> ).<\/span><span style=\"font-size: 1rem\" data-ccp-props=\"{&quot;134233117&quot;:true,&quot;134233118&quot;:true,&quot;201341983&quot;:0,&quot;335559739&quot;:160,&quot;335559740&quot;:240}\">\u00a0<\/span><\/p>\n<p><strong>Long-term preservation refers to the permanent safeguarding of digital information, ensuring its usability for decades or even centuries<\/strong>. Its purpose is to keep highly significant materials accessible and usable for future generations. Long-term preservation requires that research data remain functional and interoperable over time. This, in turn, depends on sufficiently detailed descriptive information (see <a href=\"https:\/\/sites.uef.fi\/rdm\/documentation-and-metadata\/\" target=\"_blank\" rel=\"noopener\">Chapter 3<\/a>), so that the material can be understood and reused<\/p>\n<p>The preserved data must remain reusable even as file formats, software, and hardware become obsolete. For this reason, it is advisable to store data in file formats that are widely supported and software-independent, typically open and non-proprietary formats. Where necessary, materials preserved for long term must be converted to new file formats to maintain their usability.<\/p>\n\t\t\t\t<\/div>\n\t\t\t<\/div>\n\t\t\t<\/div>\n\t\n\n\n<p><\/p>\n\n\n\n<p><\/p>\n\n\n\t<div id=\"accordion-block_8112eab06c814dd19a61f4799213f862\" class=\"accordions\">\n\t\t\t\t\t<div class=\"accordion accordion-js\">\n\t\t\t\t<button class=\"accordion__button\" aria-controls=\"content-900\" aria-expanded=\"false\" id=\"accordion-control-900\">\n\t\t\t\t\t<h3 class=\"accordion__heading\" >\n\t\t\t\t\t\tDatarepositories and data archives\t\t\t\t\t<\/h3>\n\t\t\t\t<\/button>\n\t\t\t\t<div class=\"accordion__content\" role=\"region\" aria-labelledby=\"accordion-control-900\" aria-hidden=\"true\" id=\"content-900\">\n\t\t\t\t\t<p>Research data can be made available for other users to varying degrees, stored for a fixed period of time, or preserved long term in data archives or repositories. Data repositories and archives are specialised databases designed the publishing and preservation of research data. They may be general repositories that accept data from multiple scientific disciplines, or discipline-specific repositories that focus on a particular field or theme.<\/p>\n<p>Repositories may allow researchers to upload data free of charge, or they may charge a fee for hosting. Researchers can choose the repository that best suits their data and discipline. In addition, many publishers provide recommendations for data repositories.<\/p>\n<p><a href=\"https:\/\/www.re3data.org\/\" target=\"_blank\" rel=\"noopener\"><span data-contrast=\"none\">Registry of Research Data Repositories (re3data.org)<\/span><\/a><span data-contrast=\"auto\"> can be used to search suitable data repositories filtering by research field or topic. <\/span><span data-contrast=\"auto\">T<\/span><span data-contrast=\"auto\">he <\/span><a href=\"https:\/\/www.uef.fi\/en\/open-research-data\" target=\"_blank\" rel=\"noopener\"><span data-contrast=\"none\">UEF Open Research Data<\/span><\/a> <span data-contrast=\"auto\">p<\/span><span data-contrast=\"auto\">age<\/span><span data-contrast=\"auto\"> also provides help in finding a suitable repository.<\/span><span data-ccp-props=\"{&quot;134233117&quot;:true,&quot;134233118&quot;:true,&quot;201341983&quot;:0,&quot;335559739&quot;:160,&quot;335559740&quot;:240}\">\u00a0<\/span><\/p>\n<p>Below are two examples of commonly used data repositories for storing research data:<\/p>\n<p><a href=\"https:\/\/www.fsd.tuni.fi\/en\/\" target=\"_blank\" rel=\"noopener\"><b><span data-contrast=\"none\">The Finnish Social Science Data Archive<\/span><\/b><\/a><span data-contrast=\"auto\"> is a free-of-charge digital preservation service for research, teaching and study purposes, operating in accordance with the FAIR principles. The archive specialises in social science data. It curates the data for further use through description and anonymisation. The data are assigned persistent identifiers supporting their reuse.<\/span><span data-ccp-props=\"{&quot;134233117&quot;:true,&quot;134233118&quot;:true,&quot;201341983&quot;:0,&quot;335559739&quot;:160,&quot;335559740&quot;:240}\">\u00a0<\/span><\/p>\n<p><a href=\"https:\/\/zenodo.org\/\" target=\"_blank\" rel=\"noopener\"><b><span data-contrast=\"none\">Zenodo<\/span><\/b><\/a> is a free-of-charge general-purpose open data repository that can be used to store and share, for example, publications, posters, presentations, research data, images, videos, software and lectures. While persistent identifiers are assigned to data, Zenodo does not curate the data, therefore, ensuring data usability remains the responsibility of the researcher. Zenodo is maintained by CERN, and its main funders include the European Commission through OpenAIRE<\/p>\n<p><b><span data-contrast=\"auto\">Note!<\/span><\/b> <a href=\"https:\/\/erepo.uef.fi\/handle\/123456789\/6334?locale-attribute=en\" target=\"_blank\" rel=\"noopener\"><b><span data-contrast=\"none\">UEF eRepo<\/span><\/b><\/a><span data-contrast=\"auto\"> is not a data repository, i.e. researchers cannot directly deposit their data to UEF eRepo.
